ADMISSIONS MANAGER AT GREAT BALLARD SCHOOL

JOB DESCRIPTION & PERSON SPECIFICATION


The position of Admissions Manager is an important role in the School as Admissions is often the first point of contact to the School, and the individual will be responsible for further developing and delivering the School’s marketing strategy in order to meet the pupil roll targets. In addition it is also expected that the Admissions Manager will provide general office and secretarial support. The position is full time (52 weeks per annum) and in addition, attendance at key school events including termly Open Mornings will be required.

Main Responsibilities


• Coordinate all Pupil admissions to the school


• To assist with the development and delivery of the School Marketing strategy


• Co-ordinate the programme of activities and integration for International students


• Manage the programme of Holiday lets


• To provide timely reports for the Headmaster, Business Manager and Board of Governance


• General Office/Reception and secretarial duties


Admissions


• Coordinate all pupil admissions to the school including:


 Initial contact


 Sending out prospectus, ensuring inserts updated


 Arranging initial visits and tour


 Coordinating taster Days and assessment as required


 Liaising with SENDco re SEN and feeder schools as required


 Keep the Headmaster, staff and Business Manager informed


 Ensuring all registration, acceptance forms and joining details are accurately completed and collect monies due in conjunction with Business Manager and Finance Bursar


 Following up on all Admissions enquiries


 To organise and distributing Surveys for parents and pupils as required


 To send out prospectus to Estate and Relocation Agents and foster a good relationship


 Attend marketing meetings as required


• In conjunction with the Headmaster’s PA, maintain and develop the school database for pupils, staff and Board of Governance and circulate contact details as required


• Update and distribute class lists termly, or as required and regularly update pupil numbers, and other statistical data for Headmaster, Business Manager and Board of Governance.


• Keep all documentation/records up-to-date and in order


• Annual update of Parents Handbook, Yearbooks and other literature / Termly update of the main School Calendar


• To carry out duties as the Headmaster, Business Manager or Board of Governance may from time to time determine to fall within the remit of the post, and attend courses as required


Marketing Responsibilities


• Preparation of the annual marketing plan and expenditure together with termly submission of reports on activity and expenditure to the Board of Governance.


• Liaise with feeder schools, toddler groups, nurseries, local estate agents and developers, etc. to maximise pupil recruitment.


• Exploring sponsorship opportunities


• Market research as and when required


• Work with other team members on production of; adverts/ flyers, booklets/flyers, copywriting/press releases, and liaison with the media


• Coordinate all Open Mornings including: advertising, alterations to banners, liaison with staff, mailshots and emails


• Project management of various marketing publications as and when required


Other responsibilities


• Co-ordinate and manage the programme of activities for International students during school holiday periods


• Work with other team members to help integrate international students joining the school during term time


• Administer Tier 4 visa applications for international students


• Oversee school minibus transport to and from school ensuring opportunities to develop or vary routes to attract additional pupils are captured and developed.


• Develop opportunities for additional hire of school premises including answering wedding enquiries


• Manage second hand uniform stock


• To carry out duties as the Headmaster, Business Manager or Board of Governance may from time to time determine to fall within the remit of the post, and attend courses as required


General Office Duties - Shared responsibilities:


• Work effectively as part of the Administration/ Office team providing support where required


• Answer telephone, take messages and monitor answer phone specific to Admissions


• Greet and welcome prospective parents


• Liaise with staff, pupils and parents


• Keep the reception and front hall area tidy with flowers and current school literature


• Assist with school mailings


• Attend staff INSET as required


Experience and Skills


• Knowledge and experience of the Admissions process for an independent school


• Knowledge and experience of Marketing including the preparation and delivery of a marketing plan, and the effective management of a marketing budget


• The ability to use statistics and Database management – the school uses a specialist database, iSAMS, for which training will be provided.


• A high degree of computer literacy (particularly Microsoft Office applications)


• An excellent telephone manner


• Good organisational skills and the ability to prioritise and manage tasks


• An eye for detail and accuracy
