St Catherine's School seeks to appoint a meticulous, highly organised and proactive Exams Officer and School Administration Officer to oversee the School's examinations and provide administrative support across a range of departments throughout the academic year.
This is a varied and rewarding role offering significant responsibility within a busy and thriving school community. The successful candidate will play a key role in ensuring the smooth delivery of public and internal examinations, whilst also contributing to the efficient day-to-day running of the School through a range of administrative duties.
Examinations are a critical part of school life and require exceptional attention to detail, strong organisational skills and the ability to remain calm under pressure. The role would suit someone who enjoys accurate, process-driven work, can manage competing deadlines and is committed to providing excellent support to pupils, parents and colleagues.
About the Role
As Exams Officer, you will be responsible for the administration and delivery of all public, internal, admissions and external examinations in accordance with JCQ regulations and awarding body requirements. Responsibilities include:
- Managing the examinations calendar and publishing timetables
- Processing examination entries, amendments and withdrawals
- Administering internal examinations and mock examinations
- Managing access arrangements in conjunction with the SENCo
- Secure handling and storage of confidential examination materials
- Recruiting, training and coordinating a team of invigilators
- Managing results days, post-results services and examination certificates
- Producing results analysis and supporting senior leaders with examination data
As School Administration Officer, you will be responsible for:
- Supporting school office and reception functions
- Maintaining accurate pupil and staff records
- Assisting with attendance administration, correspondence, school events and trips
- Supporting departments with general administrative tasks
- Providing cover for colleagues during periods of absence or peak workload
About You
The successful candidate will be:
- Highly organised, methodical and accurate
- Calm, professional and discreet when handling sensitive information
- An excellent communicator with strong written and verbal skills
- Able to manage multiple priorities and meet strict deadlines
- Confident using Microsoft Office, particularly Word, Excel and Outlook
- Committed to safeguarding and promoting the welfare of children
- Flexible and willing to support the wider needs of the School when required
- Previous office administration experience involving confidential information and deadlines is essential
- Experience working as an Exams Officer, knowledge of JCQ regulations, experience of school MIS systems (such as iSAMS, SIMS or Arbor), advanced Excel skills, or experience recruiting or managing a team, e.g. invigilators, would be advantageous.
Hours and Benefits
This is a permanent part-time role, equivalent to approximately 0.5 FTE overall, comprising 0.8 FTE during term time, approximately two weeks in August to support A Level and GCSE results days, and limited working time during July and early August to monitor examination queries.
